Send a client a link to your calendar so they can see, and if you allow it, edit or approve upcoming posts without logging in.

Before you start

  • Decide which social accounts and which dates the client should see. The link shows nothing else.
  • Decide whether the client should only look, or also edit, delete or approve posts.

Open the feature

Choose Calendar in the left sidebar, then click Shared Calendar at the top right. The Shared Calendar window lists every link you've made.

Steps

  1. Click Create new. The New shared calendar window opens.
  2. Type a name under Shared calendar name: (up to 50 characters).
  3. Under Select social account(s):, tick the accounts to share.
  4. Under Select date range:, pick the start and end dates.
  5. Under People with shared calendar link access:, choose View only or Editor. With Editor, tick any of Editing, Deleting and Approving.
  6. Choose what to hide or show, if these options appear: Show drafts, Hide rejected posts and Hide internal team details.
  7. To add a password, fill in Protect with a password (optional):. To show your logo, click Upload a picture.
  8. Click Create. Back in the list, click Copy Link and send it to your client.

Change an existing password

When editing a protected calendar, choose Change Password. Cancel discards the replacement and keeps the existing password when you save the calendar. Done keeps your replacement ready for saving.

Expected result

You'll see Link copied to the clipboard for sharing!. Your client opens the link and sees posts for the accounts and dates you chose. They can only do what you allowed.

Example

To get a client's sign-off on next month's posts, click Shared Calendar, then Create new. Name it "Acme – May", tick Acme's Facebook and Instagram accounts, and pick 1 May to 31 May. Choose Editor, tick only Approving, and tick Hide internal team details. Click Create, then Copy Link and email it. Your client can approve pending posts but can't change them.

Limits and permissions

  • Adding or removing a coupon updates the shared-calendar allowance, including extra allowances on your account and purchased extra slots. The same allowance applies when creating links from the dashboard or an assistant, and to the remaining slots shown for your own account or a shared team account. Previously disabled links stay disabled when the allowance changes.

  • Anyone with the link can open it. Add a password if the calendar shouldn't be public. Passwords must be 8 to 20 characters.

  • Private drafts never appear on a shared link, even with Show drafts ticked.

  • A shared link isn't a team account. To give someone full access, invite them instead.

  • Shared calendars depend on your plan. If clicking Shared Calendar shows an upgrade prompt, your plan doesn't include it.

  • Your plan and any shared-calendar add-on determine how many links can remain available. A link locked by a reduced allowance cannot be opened or copied until capacity is available again. Turning off a link yourself does not turn it back on when capacity increases.

Calendar notes follow the share's permissions. With Editing, the reviewer can add and edit notes; with Deleting, they can delete notes. Notes they add stay in the shared workspace and show the reviewer's name.

Troubleshooting

  • Your client can't open the link: in the Shared Calendar list, check Link sharing is Enabled. Copy Link is greyed out while it's Disabled.
  • Your client sees the wrong posts: click the edit icon on the calendar in the list, check the accounts and dates, and click Save.
  • You want to stop sharing: turn off Link sharing, or click the delete icon and confirm Delete. Deleting is permanent.
  • Creating a link says your plan limit couldn't be verified: no link was created. Wait a moment and try again, from the dashboard or the assistant.
