Invite a colleague to Social Champ and choose which workspaces, social accounts and features they can use.

Before you start

  • You need to be the account owner or an Admin.
  • Decide which workspaces the teammate should join and what role they need in each.

Open the feature

Click Add (the plus button) in the left sidebar and choose Invite a Team Member. The Team Management page opens. Click Invite a Team Member.

You can also go to Settings > Team Management > Manage Team.

Steps

  1. Under Step 1 - Personal Details, type the teammate's Full Name and Email.
  2. Under Step 2 - Workspace Access, click the Select Workspace field. Tick one or more workspaces in Select Workspaces and click Select.
  3. For each workspace in the table, open Role and choose Admin, Editor or Author.
  4. For an Author, click Select Account in the Social Accounts column. Tick the accounts they can post to. Turn on Requires Approval for accounts whose posts need approval, then click Select.
  5. Open Feature Permissions and tick the areas they can use: Publish, Engage, Analytics, Listening or Advocacy, and Ads when Ads is on for your account.
  6. If you're the account owner and the teammate is an Admin, you can turn on Allow access to Billing Settings.
  7. Click Invite Member.

Expected result

Social Champ emails the invitation and shows We've emailed the invite to your team member. The teammate appears on Team Management with the status Pending. It changes to Accepted once they join.

Example

You want a freelancer to write posts for one Facebook Page, with you approving them. Click Invite a Team Member and enter their name and email. Select your Marketing workspace and choose Author as the Role. Click Select Account, tick the Facebook Page, turn on Requires Approval and click Select. Under Feature Permissions, leave only Publish ticked. Click Invite Member.

Limits and permissions

  • How many teammates you can invite depends on your plan. Team Management shows your usage next to Limit.
  • Admins and Editors get every social account in the workspace. They publish without an approval step, unless the workspace uses Approve Every Post: then every post needs approval, whatever the role. See Configure an approval workflow.
  • An Author needs at least one social account in each workspace you give them.
  • What each role can do:
    • Admin: approve posts, manage the team, manage workspaces and accounts, and use Recycle, Auto RSS and the post calendar.
    • Editor: manage accounts, and use Recycle, Auto RSS and the post calendar.
    • Author: can create, edit and schedule posts in Publish and Calendar for their assigned accounts, but they cannot approve posts.
  • Allow access to Billing Settings covers the plan, add-ons, card details, invoices and wallet for the whole account.
  • To give a client access to their own accounts, use client access instead. See Manage client access.

Troubleshooting

  • Invite Member is greyed out: check the name and email are filled in, at least one workspace is selected, and every Author has at least one account. A name or email that can't be used shows a message under the field once you leave it, for example This email address isn't valid. Use the format name@example.com. The name needs at least 3 characters.
  • The teammate didn't get the email: open the teammate's actions and click Copy Invitation Link, then send them the link yourself.
  • Resend Invitation is greyed out: you can resend once an hour.
  • Requires Approval can't be turned on: the role is Admin or Editor, or the workspace already requires approval for every post.

If the dialog says Invitation saved, but the email wasn't sent, the teammate is already invited, so don't invite them again. Choose Copy link, share the invitation link with them yourself, then choose Done.

Demo Workspace

Team invitations and edits in the Demo Workspace are simulated. They last until you refresh the page, and Reset demo restores the sample members. The only workspace you can grant is the Demo Workspace, and an Admin or Editor gets all of its sample accounts, as in a real workspace. The table shows the selected roles, features and profile approval choices. New invitations show as pending; no invitation email is sent. Resend Invitation confirms that nothing was sent, and Copy Invitation Link explains that demo invitations have no link.
