Manage the Media Library
On this page
Keep your images and videos in one place, sort them into folders, and reuse them in posts.
Before you start
- Check your storage. The meter next to the Media Library heading shows how much you've used.
- Use supported files: .gif, .jpeg, .jpg, .png, .mp4 or .mov.
Open the feature
Choose Publish in the left sidebar, then choose Media Library. You can also reach your library from the composer: choose Image or video, then the Media Library tab.
Steps
- Click Add Media and choose files from your computer. The Uploads panel shows each file's progress.
- To make a folder, click the arrow next to Add Media and choose Create folder, or click the Create Folder tile.
- Drag files onto a folder to move them there. Double-click a folder to open it, and use the breadcrumb at the top to go back to Main.
- To rename a folder, open its menu and choose Rename. To delete one, open its menu and choose Delete. To delete several, tick their boxes; the selection controls apply to the items loaded on screen. Review the confirmation, then choose Delete forever to remove the folders and their contents, or Cancel to keep them.
- Find files with Search media, or open Filters and choose All, Image, Video or GIFs.
- Use a file's menu to Rename, Download or Delete it. Use a folder's menu to Export CSV or Export for Bulk Upload. To export selected files, tick them and use Export CSV or Export for Bulk Upload in the files toolbar.
- To post files, tick them and click Publish Assets. The composer opens with those files attached.
Preview, download and organize files
Open a file to preview it and use its download action when you need a local copy. Use the sorting controls to change the file or folder order. At the library root, Recent folders provides shortcuts to recently used folders.
To remove several folders, select them and use Delete; selecting all changes the action to Delete All. Review the confirmation and contents before deleting. Exporting a folder or selected files creates an export; it does not delete the originals.
Expected result
Your files appear under Files, and your folders under Folders. You can pick them from the Media Library tab whenever you add media to a post. Uploading or organizing files doesn't create a post. In the folder delete confirmation, Delete forever confirms the removal; Cancel leaves the selected folders unchanged.
Example
To reuse a spring sale banner, open Media Library, click Create Folder and name it "Spring sale". Drag the banner onto the folder. Next time you write a post, choose Image or video, open the Media Library tab, open "Spring sale", select the banner and insert the selected media into your post.
Limits and permissions
- Deleting removes items from the active library. Confirming a folder deletion permanently deletes that folder and its contents; cancel to keep them. Files already used in posts are marked as deleted rather than permanently removed. Library item removal and its storage refund commit together. A failed save keeps both unchanged. Stored objects are cleaned separately; files still referenced elsewhere and files whose ownership cannot be proved are retained.
- The checkbox next to Files or Folders selects only the items loaded on screen. Scroll down (or click Show more for folders) to load more before you select.
- When you run out of storage, new uploads stop with Storage limit exceeded. Some files may show Locked, and you can't select them.
Troubleshooting
- A file won't upload: check its format is .gif, .jpeg, .jpg, .png, .mp4 or .mov, and check your storage meter.
- You can't find a file: clear your search and click Clear filters, then check you're in the right folder using the breadcrumb.
- Publish Assets is greyed out: tick at least one file. Folders can't be published.
