Create a workspace
On this page
Set up a separate space for a brand, client or team, with its own social accounts, teammates and timezone.
Before you start
- Decide which social accounts and teammates belong in the new workspace.
- You need to be the account owner or an Admin to create workspaces.
- To enforce 2FA for members, first enable it on your own account under Settings > Personal > Security. See Manage account security.
Open the feature
Choose Settings > Workspace > Workspaces, then click Create New.
You can also open the workspace switcher at the top of the left sidebar, click Manage, then click Create New.
Steps
- Type a Workspace name (up to 50 characters).
- To add a logo, click Upload a Picture. A 360 x 360 image works best.
- Pick the workspace's Timezone. Calendar times use this setting. Queue slots use the timezone saved on each queue, which can differ. See Add a post to a queue.
- Choose a Time Format (12 hour or 24 hour) and a Start Calendar Week From day (Sunday or Monday).
- To require two-factor authentication for everyone in the workspace, turn on Enforce 2FA for All Members and choose a deadline in 2FA should be enforced in.
- Click Next.
- On Select Account(s), open Select an account and tick the social accounts for this workspace.
- Under Add Team Member(s), open Select a team member, tick existing teammates and pick each one's Role.
- Click Finish.
You can leave accounts and teammates unselected to create an empty workspace, then add them later. This is useful when preparing a new brand or a test workspace without moving existing profiles.
Expected result
The new workspace appears on the Workspaces page and under My workspaces in the workspace switcher. Click it in the switcher to start working in it.
Example
You've signed a new client, Green Leaf Café. Choose Settings > Workspace > Workspaces and click Create New. Type Green Leaf Café, set Timezone to the café's city and click Next. Open Select an account, tick the café's Facebook Page and Instagram account, then click Finish. Open the workspace switcher and click Green Leaf Café to start planning posts.
Limits and permissions
- Choose a supported role for each teammate. Each teammate can be added only once.
- How many workspaces you can create depends on your plan. When you reach the limit, Create New asks you to upgrade.
- An account can only be in one workspace. If you tick an account that's already in another workspace, it moves here. Its drafts, Auto-RSS feeds and labels in the old workspace are deleted. See Move profiles between workspaces.
- Post approvals are set up after you create the workspace. Use Take me there, or see Configure an approval workflow.
- To add someone who isn't on your team yet, invite them first. See Invite a teammate.
Troubleshooting
-
Enable Two-Factor Authentication appears: choose Enable 2FA to open your security settings and complete personal 2FA setup. Then reopen workspace creation, turn on Enforce 2FA for All Members, choose the deadline and save. Cancel leaves the enforcement change unapplied.
-
A member has a Custom or User role: existing custom permissions and account assignments are retained when you save other workspace details. To change that member's assignments, explicitly choose a standard role first. If an existing grant is missing, moved or cannot be verified, saving is refused; review the member's access with an administrator rather than guessing a replacement role.
-
Previously assigned accounts were removed or moved: the editor checks existing assignments when you open it. A warning identifies that some assignments are no longer available. For standard roles, saving keeps team members and their remaining assignments; it does not move those accounts back. Review the remaining accounts before saving.
-
Workspace editing says it couldn't load all members: refresh the page before saving. Editing refreshes the team list and keeps saving blocked when member, role or social-account details are missing, so an incomplete form cannot remove someone's access.
-
Next is greyed out: type a Workspace name.
-
Create New asks you to upgrade: you've reached your plan's workspace limit. Upgrade or delete a workspace you no longer use.
-
The accounts list is empty: you haven't connected any accounts yet. See Connect a social account.
-
A red warning icon appears next to an account: that account is already in another workspace. Hover over it to see which one before you save.
Reselecting an existing teammate
When editing a workspace, removing and reselecting a teammate or using Select all keeps that teammate's existing social-account access and approval choices. Accounts deliberately left unassigned stay unassigned. Review permissions separately when you add new accounts to the workspace.
