Manage teammate permissions
On this page
Change a teammate's role, workspaces, social accounts or feature access, or remove them from your team.
Before you start
- You need to be the account owner or an Admin.
- Check the teammate's current access on Team Management. The Workspaces, Social Accounts, Roles and Modules columns show it. Click any cell to see the full list.
Open the feature
Choose Settings > Team Management > Manage Team. Find the teammate and click Edit Team Member (the pencil icon). On a narrow screen, open the ⋮ menu on their row and choose Edit Team Member.
Steps
- In Edit Team Member, check the workspaces under Step 2 - Workspace Access.
- To add a workspace, click the Select Workspace field, tick it in Select Workspaces and click Select.
- To take away a workspace, click Delete Workspace (the bin icon) on its row.
- To change a role, open Role on that workspace's row and choose Admin, Editor or Author.
- To change an Author's accounts, click the Social Accounts cell. Tick or untick accounts, turn Requires Approval on or off, and click Select.
- To change which areas they can use, open Feature Permissions and tick or untick Publish, Engage, Analytics, Listening or Advocacy. When Ads is on for your account, every role except Client can view it, and only the owner and Admins can launch or change budgets; see Who can spend on ads.
- Click Save.
Expected result
You see Team Member updated successfully. The teammate's row on Team Management shows the new workspaces, roles and modules.
Example
Your Author no longer works on the Green Leaf Café account but still handles Marketing. Open Edit Team Member for them. Click Delete Workspace on the Green Leaf Café row and leave Marketing as it is. Click Save.
Limits and permissions
- Roles are set per workspace. A teammate can be an Admin in one workspace and an Author in another.
- Admins and Editors get every social account in their workspaces. You only pick accounts for Authors, and each Author needs at least one.
- If you're the account owner, you can turn Allow access to Billing Settings on or off. It needs the teammate to be an Admin in at least one workspace.
- To remove a teammate, open their ⋮ menu or Actions and click Delete Team Member. Before you click Confirm, review the warning: pending posts will be deleted, while published and scheduled posts will be transferred to the workspace owner. Deleting the teammate also removes their team access.
- You can't edit a teammate whose row is locked.
- Admins can do everything in their workspaces except delete them. Only the account owner can delete a workspace.
- Every invitation, removal, role change and billing access change is recorded in the activity log. If a teammate who isn't you removes someone, deletes data or makes someone an Admin, the account owner gets an email straight away. See Review your team's activity log.
Troubleshooting
- Save is greyed out: check every workspace has a role, and every Author has at least one social account.
- Edit Team Member is greyed out: the teammate is locked and can't be edited. Check your plan's team limit next to Limit on Team Management.
- An account is missing from the Social Accounts list: it isn't in that workspace. Add it to the workspace first. See Move profiles between workspaces.
- Requires Approval can't be turned on: the role is Admin or Editor, or the workspace already requires approval for every post.
Demo Workspace
Team invitations and edits in the Demo Workspace are simulated. They last until you refresh the page, and Reset demo restores the sample members. The only workspace you can grant is the Demo Workspace, and an Admin or Editor gets all of its sample accounts, as in a real workspace. The table shows the selected roles, features and profile approval choices. New invitations show as pending; no invitation email is sent.
Keep existing assignments when reselecting members
Removing and reselecting an existing member, including Select all, keeps their social-account restrictions and approval settings. Review newly added workspace accounts separately. See Create a workspace.
