Rename, edit or delete a workspace
On this page
Change a workspace's name, picture, timezone, accounts or teammates, or delete a workspace you no longer need.
Before you start
- To edit a workspace, you need to be the account owner or an Admin in the workspace.
- Only the account owner can delete a workspace.
- Before turning on Enforce 2FA for All Members, enable 2FA on your own account under Settings > Personal > Security. See Manage account security.
- Deleting a workspace can't be undone. Move any social accounts you want to keep to another workspace first. See Move profiles between workspaces.
Open the feature
Choose Settings > Workspace > Workspaces. Each workspace has an Edit Workspace (pencil) and a Delete Workspace (bin) icon in the Actions column. Type in Search Workspaces to find one quickly.
To edit, you can also open the workspace switcher in the top header and click Workspace settings (the gear icon) next to the workspace.
If your account has the CRM pilot enabled, the same workspace switcher is available at the top of CRM.
Steps
Rename or edit a workspace
- Click Edit Workspace next to the workspace.
- Under Step 1 - Edit Workspace, change what you need:
- Workspace name (up to 50 characters)
- the picture, using Upload a Picture
- Timezone, Time Format or Start Calendar Week From
- Enforce 2FA for All Members and 2FA should be enforced in
- To add social accounts, open Select an account under Select social account(s) and tick them.
- To add teammates, open Select a team member under Add Team Member(s), tick them and pick each one's Role.
- To take a teammate out of the workspace, click Remove Team Member (the bin) in their row. Read the message and confirm.
- Click Save Workspace. If you opened the settings from the workspace switcher, click Save and Refresh.
Delete a workspace
You need to be the account owner. For everyone else the Delete Workspace icon is greyed out, and pointing at it shows who can delete the workspace.
- Click Delete Workspace next to the workspace.
- Read the Are you sure? message. It names the workspace and lists everything that will be removed.
- Click Delete. To keep the workspace, click Cancel.
Expected result
After editing, the Workspaces page and the workspace switcher show the new name and picture, and the workspace uses its new settings.
After deleting, the workspace disappears from the Workspaces page and the workspace switcher. Designs saved in the designer's My designs for that workspace are deleted with it.
Example
Your client Green Leaf Café has rebranded as Green Leaf Kitchen. Choose Settings > Workspace > Workspaces and click Edit Workspace on Green Leaf Café. Change Workspace name to Green Leaf Kitchen, click Upload a Picture to add the new logo, then click Save Workspace.
A year later the contract ends. First move the Instagram account you're keeping into your Agency workspace. Then click Delete Workspace on Green Leaf Kitchen, read the list and click Delete.
Limits and permissions
- Only the account owner can delete a workspace. Admins can still create, rename and edit workspaces and move accounts between them.
- Your role in the workspace you're changing is the one that counts. An Admin role in another workspace doesn't let you edit this one or reorder its accounts.
- Editors, Authors and Clients cannot open workspace editing through these controls; they see Limited Access.
- Every workspace you create, edit or delete is recorded in the team's activity log, along with the teammates and accounts a deletion removed. See Review your team's activity log.
- You can't delete your only workspace. You'll see "You can't delete primary workspace".
- Deleting a workspace permanently removes:
- all its connected social accounts
- all its scheduled and pending posts (posts that have already published stay on the social networks)
- all teammates' notifications, and their access to its social accounts and posts
- all saved notes, competitor analysis data and social listening alerts
- all its Automation Rules
- all its integrations with other platforms and third-party tools
- all post labels created in it
- A teammate whose only workspace you delete is removed from your team.
- Adding or removing teammates, changing their roles, or changing which accounts an Author or Client can use and whether their posts need approval needs the account owner or an Admin in this workspace. An Admin role in another workspace doesn't count.
- You can't untick a social account that's already in the workspace. To move it, edit the workspace you want it in and add it there. To remove it from Social Champ, see Remove a social account.
- Adding an account that's in another workspace moves it here and deletes some of its data in the old one. See Move profiles between workspaces.
- The Demo Workspace can't be edited or deleted.
Troubleshooting
- Enable Two-Factor Authentication appears: choose Enable 2FA, complete setup in your security settings, then reopen Edit Workspace and turn enforcement on again. Choose the deadline and save the workspace; enabling personal 2FA alone does not apply workspace enforcement.
- Previously assigned accounts were removed or moved: the editor checks existing assignments when you open it. A warning identifies that some assignments are no longer available. Saving keeps team members and their remaining assignments; it does not move those accounts back. Review the remaining accounts before saving.
- Workspace editing says it couldn't load all members: refresh the page before saving. Editing refreshes the team list and keeps saving blocked when member, role or social-account details are missing, so an incomplete form cannot remove someone's access.
- You see "Oh no! You can't edit because your workspace is disabled.": the workspace is locked on your plan. Upgrade to edit it.
- You see "You can't delete primary workspace": it's your only workspace. Create another one first, or keep this one and edit it instead.
- You see "Only the account owner (name) can delete a workspace.": you're a teammate on someone else's account. Ask the account owner named in the message to delete it.
- You see Limited Access: your role in this workspace is Author or Client. Ask an Admin on your account.
- Save Workspace is greyed out: type a Workspace name.
- The gear icon isn't in the workspace switcher: it only shows for workspaces where you're the owner or an Admin.
- You see "This workspace's team changed while you were editing.": someone changed this workspace's teammates while you had it open, so your save wasn't applied. Reload the page and make your change again.
Keep existing assignments when reselecting members
Removing and reselecting an existing member, including Select all, keeps their social-account restrictions and approval settings. Review newly added workspace accounts separately. See Create a workspace.
