Copy a post, send it back to Drafts, publish it right away or delete it, without leaving Calendar.

Before you start

  • Check you're in the right workspace. Calendar only shows that workspace's posts.
  • Duplicate post, Move to drafts and Post Now are for posts that haven't published yet. Published posts have their own options, such as Repost, and you can still use Delete post on them.
  • Clients can't delete posts or drafts. A teammate with the Client role is refused for one post, several posts, Delete all or a draft, on the accounts and workspaces where they are a client.

Open the feature

Choose Calendar in the left sidebar and switch to Month or Week view. Click a post to open it in the Post panel, then click the three dots at the top of the post to open its menu.

A post whose time has passed but that has not gone out shows Pending Post in the Post panel, with the reason under it, such as Waiting for you, Queue paused or Retrying, attempt 2 of 3. On the calendar itself the reason shows on the post; hover over it to read the explanation. A post that is still waiting for an approver shows Approval Pending with Waiting for approval under it. See Review and manage posts in the Queue for every reason.

In Month view each day shows as many posts as fit in the day's box. When more posts, or taller ones such as a post with a status label under it, would cover the + buttons at the bottom of the box, the extra ones are hidden and Show All (number) appears. Click it to open every post and note for that day in the side panel.

A link to a post from the assistant's post cards, or from a notification that a post needs posting by hand, opens Calendar on that post's day with the post in the Post panel. Only a failed post opens in the failed-post view instead.

Steps

Edit a post that belongs to a group

If the post was scheduled to several accounts together, Edit first asks whether to edit this post only or all the posts in the group. See Edit a group of posts together.

Duplicate a post

  1. Open the post's menu and click Duplicate post.
  2. Change the copy in the composer if you need to, such as its accounts or time.
  3. Schedule or publish the copy as usual. The original post stays as it was.

Move a post to Drafts

  1. Open the post's menu and click Move to drafts.
  2. Check the message Your post has been successfully moved to drafts.
  3. To finish it later, open it from Drafts. See Save and reopen a draft.

Publish a scheduled post now

  1. Click the scheduled post to open it in the Post panel.
  2. Click Post Now at the bottom of the post.
  3. Check the message Your post is live!

Delete a post or a draft

  1. For a post, open its menu and click Delete post. For a draft, click the trash icon (Delete) on the draft.
  2. Confirm. For a post, click Delete. For a draft, click Yes.
  3. If deletion recovery is enabled for your account and Undo appears, click it before the Post deleted or Draft deleted message closes. Without Undo, you cannot restore the deleted item from this flow.

Delete all scheduled posts

  1. Pick the accounts in the social account selector and go to the month you want to clear.
  2. Click Delete all.
  3. To delete every future post on those accounts, not just this month's, tick Check this box to delete all posts scheduled for the future.
  4. Click Delete all posts.

Delete all removes scheduled posts, plus the drafts on those accounts that fall in the same range (or in the future, when you tick the box above). Drafts are only removed when no post-type filter is applied. Notes are removed too, but only when no post-type filter is applied and you are not limited to your own posts. If the accounts have nothing scheduled and no drafts in range, you see There are no posts to delete. and nothing is removed.

Delete all is unavailable while Post Status includes Sent, Failed or External Posts, because it removes scheduled posts, not published ones.

Search for a post

  1. Click Search. The Search panel opens.
  2. Type a word or phrase from the post.
  3. To narrow the results, click Filter By and choose a Social Platform, Post Status, Post Type, Social Account or Team Member.
  4. Each result for a Pending post, or a post waiting for approval, shows its reason and a one-line explanation under the post, such as Waiting for approval. Click a result to open the post.

Create posts and reuse content

Use the + control on a date to start a post for that date, then confirm its exact time in the composer. Where offered in a post's actions, Add to collection copies it into a recycle collection; review the destination before confirming. Hover over a published post's performance indicator to inspect the available performance details.

See how a published post performed

  1. Click a published post on the calendar to open it in the Post panel. This includes posts you published straight on the network.
  2. Read the row of numbers above Repost. It shows up to three of reactions, comments, views, shares and clicks.
  3. Click Details to see all five. Hover over a number in the row to see what it counts.
  4. Click View full analytics to open that account's Overview report on the post's day in your workspace time zone, with the post outlined in Top Posts. A YouTube post older than 30 days shows YouTube's policy limits analytics to the last 30 days. instead of its numbers, because Analytics shows YouTube for the last 30 days only.

Until the first numbers arrive you see Insights usually arrive within 24 hours of publishing. Only the numbers that network reports are shown; for example, Bluesky shows reactions, comments and shares. A dash means the network has not sent that number for this post yet. A 0 means it reported zero. If the account needs reconnecting, you see Please Re-authenticate this profile to see insights.; click Re-authenticate Now. Once a post is older than your plan keeps analytics, its numbers are no longer shown; if that account's analytics never synced, no insights appear for the post. Where a plan keeps more, Upgrade appears on the right; hover over it to see Insights are kept for N days on your plan. On the plan that keeps the most, a lock icon shows that line instead.

Expected result

  • Duplicate post opens a new post with the same content. Nothing changes until you schedule or publish it.
  • Move to drafts removes the post from its time slot and saves it as a draft.
  • Post Now publishes the post straight away.
  • A deleted post or draft disappears from Calendar. If you click Undo in time, you see Post restored or Draft restored and it comes back.
  • Delete all shows All posts deleted successfully.

Example

Your Thursday 10:00 AM product post on your Facebook Page needs a second version for Instagram, and an old promo post should be removed. Open Calendar, click the Thursday post and open its menu. Click Duplicate post, swap the Facebook Page for your Instagram account in the composer and schedule the copy. Then click the promo post, open its menu and click Delete post, then Delete. If you picked the wrong post and Undo is offered, click it before the Post deleted message closes.

Limits and permissions

  • Deletion recovery is available only when enabled for your account and offered for that action. Click Undo while its message is visible. Without it, or after it closes, this flow cannot restore the post or draft.
  • Delete all can't be undone. Posts that have already published aren't deleted, and Recycle posts aren't affected. Drafts showing on the calendar are deleted too.
  • Without the box ticked, Delete all only removes posts from now until the end of the month you're viewing.
  • Delete all isn't available while a Post with an image, Post with a video, Post with a Reel or Post with a Story filter is on. Clear those filters first.
  • If your Post Type filter includes Recycle Posts, Delete all offers Go to Recycle instead, where you can delete them.
  • With Ads on for your account, Boost on a Facebook Page, Instagram, TikTok or LinkedIn Page post opens Ads with the post chosen. On a post that isn't published yet it's off: "Available after it publishes. Set it up from the composer instead." See Boost a post with Ads.
  • Search, Delete all and Post Now aren't in Grid view or on a shared calendar.
  • Post Now isn't shown for Recycle posts, drafts, or posts waiting for approval or rejected.
  • Move to drafts and Duplicate post need access to Publish.
  • Deleting a published post also removes it from the social network. Some networks don't support this, and you see a message telling you to delete the post on the network instead.
  • Admins and the account owner can delete any post. Other team members can delete only the posts they created. On someone else's post, Delete post is greyed out and names who can delete it, for example Only Sara (who created this post) or an Admin can delete it. If the creator has left the team, it says Only an Admin can delete this post.
  • If a duplicated LinkedIn post has mentions, they are turned into plain text.
  • Post numbers need access to Analytics on your plan and, for a team member, the Analytics module in that workspace. They are not shown for X (Twitter), Facebook Groups, Mastodon or Google Business Profile, on a shared calendar or approval link, or to clients. Numbers for posts Social Champ published refresh once a day for a week after publishing, and stay visible for as long as your plan keeps analytics history.

Troubleshooting

  • Duplicate post or Move to drafts is missing from the menu: Recycle posts don't have these options, and you need access to Publish. Ask a workspace admin if you're not sure.
  • You missed the Undo button: the post or draft is gone. Create it again, or check Drafts if you moved it there instead.
  • Delete all says "There are no posts to delete.": check the selected accounts, the month and your Filters.
  • Search shows "No Post Found": try other words, or click Clear Search and change your Filter By choices.
  • Post Now shows an error: read the message, fix what it says, then try again.

Delete confirmation and Undo

Deleting scheduled content prevents it from publishing. Where recoverable deletion is enabled, an eligible deletion can show an Undo action for 30 seconds; use the action before it expires. Public/shared-calendar deletion and deletion without that capability still warn that they cannot be undone. Deleting already-published content from the network is a separate action with its own confirmation. Do not assume every delete action supports Undo.

Delete confirmation and Undo

Deletion is permanent unless the success result offers Undo. Queue posts, failed or already published posts, and posts too close to their publishing time may not be eligible. Read the confirmation and check the result; enabling Undo does not make every deletion recoverable.

In List view and on the post card, a trial reel shows a Trial reel label. A version of a reel test shows Reel test · Version A (or B, C) and opens the test when you click it. A test shows as one grouped item in the calendar. See Test reel versions.

Delete all posts in a range

Read the selected profiles, post type and date range in the confirmation. Under All, dated drafts are deleted only when they belong to the selected profiles and fall within that range. A specific scheduled-post type does not delete drafts. An empty or partly loaded calendar does not determine the server’s scheduled-post selection. If deletion fails, check the refreshed calendar before trying again.

When an X (Twitter) or Bluesky thread reply didn't post

If the first post of a thread went live but a reply failed, the post stays published and shows as Partially Published. One yellow note above it reads Your post is officially up! However, 1 reply couldn't be published. (or 2 replies), and its View action opens the live post. In the post preview, each reply that wasn't posted is outlined in red with the reason and a Retry button. Reschedule, Retry and Retry Now aren't offered on the post itself. Click Retry on a reply to open Start Thread, edit the replies that aren't live (the main post and live replies are greyed out) and click Done; the card then shows Retrying the reply. It will show here once it's posted. The button isn't shown on a shared read-only calendar. See Resolve a failed or incomplete post.
