Change the caption, media, labels or posting time of a post that was scheduled to several accounts at once, in a single step.

Before you start

  • A group is the set of posts created when you scheduled one post to several accounts in a single go. Posts scheduled before groups existed and drafts are not part of a group, so they show no group option.
  • You only see the accounts in the group that you have access to. If you are a team member, you can edit an account's post in a group when you hold Manage profiles in that workspace or wrote the post yourself.
  • Published and failed posts show in the group but are locked. Repeating posts and queue-slot posts are locked too: repeating posts are edited from their own editor, and queue-slot posts are edited from the Queue.

Open the feature

On Calendar, open a post that belongs to a group and click Edit, or choose Edit from the card menu in Board view. In Queue, click Edit on a queued post. A box asks whether to edit this post only or all the posts in the group. Click Edit all (number) posts to open Edit Group of Posts.

Steps

  1. In Posts in this group, every account that can be edited starts ticked. Untick an account to leave that post alone entirely. Select all ticks or unticks every account that can be edited.
  2. Accounts marked Customized have their own caption or media, and the line under the name says which ("Own caption", "Own media" or "Own caption and media"). A caption or media change skips what they keep. Labels and posting time apply to them like everyone else.
  3. Change the caption, media, labels or posting time. The caption box is the same editor you use in Publish Content, with an emoji picker, a hashtag button and a character counter that follows the strictest limit among the selected networks. Media works like it does when you create a post: drag to reorder, remove with the cross, and use the ALT chip to add alt text. The right side shows a live preview of each selected network, with the same Desktop and Mobile views as Publish Content. Accounts with their own caption show their own caption there. Click Add Labels at the top right to open the label picker. Labels that are on every selected post, and labels that are on only some of them, start selected, and a line under the button names the ones that are on only some. Selecting a new label adds it to every selected post. Deselecting a label removes it from every selected post. Other labels on each post stay.
  4. Check the footer. It says how many posts will be updated, for example 4 posts will be updated. 2 keep their own caption. Otherwise it says Select at least one account to update or No changes yet.
  5. Click Update (number) posts.

Change a customized post

Click the name of a Customized account (not its checkbox) to edit that post on its own. The box then shows only that post, with its own caption and media, and your changes apply to that account only. Click Update this post to save them.

  • Use shared caption and Use shared media replace the post's own caption or media with the shared one. You are asked to confirm first, and the change is saved when you click Update this post. A button is dimmed when the post already uses the shared caption or media, or has none of its own.
  • Back to the shared edit returns to the group. If you have unsaved changes, you are asked whether to discard them. The close button, Cancel and the Esc key ask the same. The group edit and the single-post edit are saved separately, never together.

Expected result

You see (number) posts updated successfully! and Calendar or Queue refreshes. The update is all or nothing: every selected post is checked first, and if one fails, none is changed.

The accounts and the approval workflow can't be changed here. When the posts are in an approval workflow, each updated post is sent for approval again and only publishes once the review is complete.

Example

You scheduled one launch post to Brand Facebook, Brand Instagram and Brand X. Instagram has its own caption. Open the Facebook post, click Edit, choose Edit all 3 posts, change the caption and click Update 2 posts. The footer reads 2 posts will be updated. 1 keeps its own caption. Facebook and X get the new caption; Instagram keeps its own. To give Instagram the shared caption, click its name, click Use shared caption, confirm, then click Update this post.

Limits and permissions

  • A caption must fit each network's character limit, and media must meet each network's rules.
  • You can't mention accounts (@) in a group edit, because the caption is saved as text for every selected post. Hashtags work. The editor's other tools from Publish Content (AI, Thread, repeat, Canva and image or video editing) are not shown here; open a post on its own from the Queue or Calendar to use them.
  • A new posting time must be in the future. Choosing Schedule or opening the date opens the time picker; the time is set only when you click OK in it.
  • If your workspace requires a label on every post, you can't remove a post's last label. The box says Your workspace requires at least one label on every post. Use Add labels to choose one. and Update stays off until you fix it.
  • If the posts have different captions and no caption is shared by most of them, every post keeps its own caption. The caption box starts with the caption of the post you opened, and changing it leaves the posts as they are. Open a post on its own to change its caption.

Troubleshooting

  • (number) posts couldn't be updated. Nothing was saved. The box lists each account and the reason. Fix the change or untick those accounts, then click Try again. Your edits stay in the box.
  • No posts will be updated. Every ticked post keeps its own caption or media, so your change would not reach any of them. Tick other accounts, or open a post on its own.
  • Some posts changed while you were editing. A post was published or edited elsewhere. Nothing was saved. Untick it or try again.
  • The update couldn't be finished. The update stopped part-way. The box names which posts were put back as they were and which could not be, so you can check those in Calendar. For each post that could not be put back, the box says why: someone else changed it after your edit, it was published or deleted meanwhile (both are left as they are), or it could not be put back and may still hold your changes. Notifications that were already sent, and a short link made for a changed caption, are not recalled.
  • Couldn't update your posts. Check your connection and try again. The request did not complete. Try again.
