See every post as a card in a status column, and move work along by dragging cards between columns.

Before you start

  • Check you're in the right workspace and pick the accounts you want in the social account selector. The board only shows those accounts' posts.
  • Board View is available only when enabled for your account and isn't available on a shared calendar. If Board View isn't in the menu, use Calendar or Grid View to review posts.

Open the feature

Choose Calendar in the left sidebar, then choose Board View in the Calendar menu on the left.

Steps

Read the columns

  1. Check the columns from left to right: Drafts, Pending Approval, Rejected, Scheduled, Overdue, Published and Failed. The number next to each name is how many posts it holds.
  2. Look in Overdue for posts whose time has passed but that haven't published.
  3. Card dates use the selected workspace's timezone. Click a card to open the post. Click Load more at the bottom of a column to see more cards.
  4. To add a post, click New or Add post in the Drafts or Scheduled column.

Move a card to another column

  1. Drag a card onto another column and let go. Only these moves work:
    • Drafts to Scheduled: the composer opens with the draft. Choose a time and schedule it.
    • Scheduled to Drafts: the post moves to your drafts straight away.
    • Pending Approval to Scheduled: approves the post.
    • Pending Approval to Rejected: declines the post. Add a reason when asked.
    • Rejected to Pending Approval: the composer opens. Fix the post and save it to send it for approval again.
    • Failed to Scheduled: the composer opens with a copy of the post so you can schedule it again.
  2. Finish any window that opens. The card moves when you're done.

Use a card's menu

  1. Click the three dots on a card.
  2. Choose an action, such as Edit, Post now, Duplicate post, Add to collection or Delete post.
  3. On a Pending Approval card, you can also click Approve or Decline on the card itself if you're one of its approvers.
  4. On a Failed card that lost its account connection, click Reconnect account.

Hide and restore published cards

  1. On a Published card, open the menu and click Hide from board.
  2. To undo, click Undo in the Hidden from the board for everyone message.
  3. To see hidden cards again, open the three dots on the Published column and click Show all hidden posts.
  4. On a hidden card, click Restore to board.

Change board settings

  1. Click the gear icon (Board settings) at the top right of the board.
  2. Under Auto-hide Published posts after, choose Off, 7 days, 14 days or 30 days.
  3. Click Turn on auto-hide (or Turn off) to confirm.
  4. To see hidden cards on the board, switch on Show hidden posts.

Search and group the board

  1. Type in Search posts at the top of the board. The columns only show posts whose text matches.
  2. To group cards by label instead of status, click By label. Click Status to go back.
  3. To see your calendar notes beside the columns, click Notes. See Add and edit calendar notes.

Approve or decline selected pending posts

In the pending column, select posts you are allowed to decide. Review the bulk bar's selected count before choosing Approve or Decline. If Select all … pending is offered, it can extend the selection beyond the loaded cards; check the total before confirming. Inspect any errors left on individual cards after the action rather than assuming every selected post succeeded.

Expected result

Each card sits in the column that matches its status. After a move, the card shows in its new column. Hidden cards leave the Published column for everyone, but the posts stay on the network and in Calendar, Grid View and Queue.

Example

Your client has approved Monday's Instagram post, and a Facebook Page post failed overnight. Choose Calendar > Board View. Drag the Instagram card from Pending Approval to Scheduled to approve it. Then drag the Facebook card from Failed to Scheduled. The composer opens with a copy, so choose a new time and schedule it. Finally, open the failed card's menu and click Delete post to clear it from Failed.

Limits and permissions

  • Cards in Overdue and Published can't be dragged, and nothing can be dropped on Overdue, Published or Failed. To publish an overdue post, open its menu, click Edit and pick a new time.
  • Post now only shows on Scheduled cards whose time hasn't passed.
  • A post only moves to Overdue 15 minutes after its scheduled time.
  • You can only drag a Pending Approval card if you're allowed to approve it.
  • Dragging is off while you group By label.
  • Hide from board hides the card for everyone in the workspace. It doesn't delete the post.
  • Auto-hide only applies to the Published column.
  • Board settings is only shown to people who can manage workspaces.
  • Scheduled to Drafts happens without a confirmation. Use Edit or Duplicate post in the card menu if you want to keep the post scheduled.

Troubleshooting

  • The card snaps back when you drop it: that move isn't allowed. Check the list of moves above.
  • A card doesn't move after you drag it: finish or cancel the window that opened. The card only moves once you save.
  • A published post is missing: it may be hidden. Open the three dots on the Published column and click Show all hidden posts.
  • A hidden card shows "Why is this hidden?" instead of Restore to board: it was hidden by auto-hide. Choose a longer time or Off in Board settings.
  • "This post's scheduled time has passed. Edit it to pick a new time.": the post is overdue. Click Edit and pick a new time.
  • The board is empty: clear Search posts and check the selected accounts.

Delete confirmation and Undo

Deleting scheduled content prevents it from publishing. Where recoverable deletion is enabled, an eligible deletion can show an Undo action for 30 seconds; use the action before it expires. Public/shared-calendar deletion and deletion without that capability still warn that they cannot be undone. Deleting already-published content from the network is a separate action with its own confirmation. Do not assume every delete action supports Undo.

Deletion is permanent unless the success result offers Undo. Queue posts, failed or already published posts, and posts too close to their publishing time may not be eligible. Read the confirmation and check the result; enabling Undo does not make every deletion recoverable.

Threads that are partly published

A card with the Partly published badge can be an X (Twitter) or Bluesky thread whose first post is live but whose reply failed. Hover over the badge to read Your post is officially up! However, 1 reply couldn't be published. (or 2 replies). To fix it, open the post and click Retry on a reply outlined in red; see Resolve a failed or incomplete post.
