Approve, edit or reject work the assistant has queued, and choose how much it can do on its own.

Before you start

  • Open Approvals & autonomy when the assistant’s autonomy service is enabled. Availability is controlled for the service; queue settings and permissions remain per workspace.
  • Check you're in the right workspace. The queue and settings are per workspace.
  • Only workspace admins can approve, reject or change autonomy settings. Everyone else can view them.

Open the feature

Open the assistant's Brand profile panel, then choose Approvals & autonomy in its footer. The control center opens on the Overview tab.

Steps

  1. Look at the summary cards at the top: Queued (actions awaiting a decision), Active tasks and Highest level.
  2. Under Queued actions, read each item. It shows the task type, the network, when it was queued, a summary and, sometimes, the assistant's reasoning.
  3. Choose what to do with each item:
    • Approve: lets the assistant go ahead.
    • Edit reply: available for Inbox FAQ replies only. Change the reply text, then choose Approve edited reply, or Cancel to go back. Other task types offer Approve and Reject; reject and request a corrected action when their content needs changing.
    • Reject: declines it.
  4. Click Refresh to load newly queued items.
  5. Under Autonomy levels, choose a level for each task type (Inbox FAQ replies, Weekly plan slots, Onboarding calendar, Boost proposals):
    • Draft only: prepares work without acting.
    • Ask approval: work the assistant prepares on its own waits here for your sign-off. Requests you make in chat ask you directly in the chat instead.
    • Auto within limits: acts within platform and plan limits, then reports back.
  6. To stop the assistant acting on its own, turn the autonomy switch off. It shows Paused, every task drops to draft only and queued actions are cancelled. Turn it back on to restore saved task levels; it shows Active. Paused ad campaigns and cancelled actions do not resume automatically. Asking the assistant in chat to stop all its activity does the same.

Review a suggested autonomy upgrade

If the assistant offers an earned autonomy upgrade, review which permission level it proposes. Choose Yes, raise it only when that scope is appropriate, or Not now to leave the current level unchanged. Confirm the resulting autonomy setting before requesting actions that can change data.

Expected result

Approved and rejected items leave the queue. Approved work uses the queued action details, except that an edited Inbox FAQ reply sends the reply text you approved. Approving a Weekly plan slots or Onboarding calendar item saves its posts as drafts in Publish > Draft; nothing is scheduled. To see what happened next, open the Action log tab. Level changes save as soon as you pick them.

Example

With Inbox FAQ replies set to Ask approval, the assistant queues a reply to a common Instagram inbox question. For an Inbox FAQ reply, use Edit reply to add the correct opening hours, then review the text before choosing Approve edited reply. For an action without that option, reject it and ask for a corrected action.

Limits and permissions

A starter week on first account connection also requires onboarding-calendar automation to be enabled. Background weekly plans, onboarding calendars and boost proposals may be restricted to a pilot workspace list; an empty list adds no restriction.

  • Platform policies and your plan can cap a task below the level you choose. Capped tasks keep queueing for approval, even on Auto within limits.
  • Trust metrics shows approval, edit and rejection rates for each task. No data yet means nothing has been decided for that task, not a score of zero.
  • Pausing the assistant cancels everything in the queue. You can't bring those items back.
  • A new workspace starts with the autonomy switch on (Active) and every task type at Draft only, so, when onboarding-calendar automation is enabled and your workspace is eligible, the assistant can prepare a starter week of drafts when you connect your first account. While a workspace is Paused, the assistant prepares no starter week or weekly plan.
  • If the switch shows Unavailable, the setting couldn't be loaded. Reload the page.
  • The assistant won't change the caption, first comment, network options or media of a post that approval governs. Edit those in Calendar so the post goes through approval again. See Review and approve a post.

Troubleshooting

  • You do not see Approvals & autonomy: the autonomy service may be unavailable.
  • The buttons are greyed out or you see "Only workspace admins can…": ask a workspace admin to make the decision or change the setting.
  • You see "This action was already decided": someone else approved or rejected it first. The queue reloads.
  • An item you approved doesn't seem to have run: check its status in Action log. A failed item shows the reason.
  • An approved batch of posts shows as failed: none of its posts were scheduled or sent for approval, or the assistant was paused part-way through. If pausing stopped it, the message lists how many posts were scheduled, are waiting for approval and were stopped. Don't resubmit the scheduled or waiting posts; after you set the assistant back to Active, ask it to retry only the stopped ones. If some posts went out and nothing stopped the batch, it shows as run, and each post's result says what happened to it.
  • The assistant won't move a post and says it couldn't confirm whether the post published: the post may already be live, so the assistant leaves it where it is. When it moves several posts at once, it lists this one as skipped. Check the social account first. If the post isn't there, open the post's menu in Calendar, click Duplicate post and schedule the copy.
  • The queue is empty when you expected items: nothing needs approval right now. Check the task levels under Autonomy levels.
