Choose which analytics a client can view through a shared link.

Before you start

Decide which accounts, dates and metrics the recipient should see. Anyone who can open the link can see the information you include, subject to its password protection.

Open the feature

Open Analytics Overview, Label Analytics, Cross Platform Analytics, Engage Labels, Engage Team, Review & Reputation or Competitor Analysis and choose Shared Analytics at the top right. Each page lists only its own links; all of them count toward one shared allowance. On a phone, Shared Analytics and Scheduled Report show as icons only, next to Export.

To see every link in the workspace at once, open Analytics and choose Shared Analytics in the left menu, below Scheduled Reports. The page shows Shared reports: used / limit next to its title, tabs for each report type that has a link, and the report type under each link's name. From there you can copy a link, turn Link sharing on or off, edit or delete it. Create new asks which report to share, then opens the same steps as below.

Steps

  1. Create a new shared report.
  2. Under Report Details, enter the Report name, choose the social accounts and set the date range. Some pages ask for more:
    • Label Analytics: at least one label. Each label shows how many posts carry it, not counting posts deleted from the network, and the list footer shows how many you've selected. Deleted labels stay in the list marked Archived and can still be picked, because the posts that carry them still report. An archived label stays marked on the client's link, in the Shared Analytics list and on its chip when you edit the link. Under Show labels as, choose Combined or Compare; Compare needs 2 to 5 labels.
    • Engage Labels: at least one Engage label. Accounts are optional; leave them empty to include every account.
    • Engage Team: team members and labels are optional; empty means everyone on the workspace and every conversation. Only you (the account owner) and team members of the link's workspace can be picked.
    • Review & Reputation: at least one review account.
    • Competitor Analysis: at least one of your accounts, then at least one competitor. Locked competitors are listed but greyed out and can't be shared. Your YouTube channels and YouTube competitors can be picked too; the link then shows them in Overview and in the YouTube channels section.
  3. Choose Rolling for a range that updates when the client opens the report, or Fixed dates for a fixed period. With Fixed dates, the note under the options names the chosen range, for example The report always shows 22 Aug, 2026 - 20 Sep, 2026, even when the client opens it later. The date field, the note and the saved link all use the days you picked.
  4. For Analytics Overview and Label Analytics, set Allow PDF download. Optionally set Protect with a password.
  5. Choose Next: Metrics. If a required field is missing, an error appears under it; fix it and choose Next: Metrics again. Then select the metrics to include. For Analytics Overview, Engagement and Demographics expand into their breakdowns, and an unticked breakdown is left out of the shared report's table and chart. If you untick every breakdown of a metric, the link shows all of its rows. Engage, Review & Reputation and Competitor links have no metrics step: choose Create on Report Details.
  6. Choose Create and copy the resulting link. Copy changes to Copied and a Link copied message confirms it. Report link is ready sums up what the link shows; for Label Analytics it reads like 8 metrics, 2 breakdowns · 3 labels · Compare. Check the viewer before giving it to your recipient.

To read a report someone shared with you:

  1. Open the report link and enter its password if requested.
  2. Check the report name, accounts and displayed date range before interpreting the numbers.
  3. Read the included metrics. A rolling range updates over time.
  4. Use the PDF export control if the owner allowed downloads. If it is absent, the link is view-only. While the PDF is made, Generating your PDF… covers the preview. Each section of the report starts on a new page and is not split across pages, and the file is named after the Custom Report Name you typed.

Edit or stop sharing a report

In the shared-report list, use Edit to change a link's configuration. Change its status to Disabled to stop access without deleting the record. Use Delete and review the confirmation to remove the shared link. Copy Link changes to Copied and shows a Link copied message. It is disabled while sharing is disabled. Check the saved status after each change.

Expected result

A shared link opens the selected report with the configured metrics and access options.

Example

Create a fixed-date monthly report for a café, include its Facebook and Instagram accounts, and protect the link with a password.

Limits and permissions

  • A rolling range changes over time; use fixed dates for a historical snapshot.
  • Removing password protection allows anyone with the link to open the report.
  • Metric availability varies by network.
  • Engage, Review & Reputation, Cross Platform and Competitor links are view-only; they never offer a PDF download. Analytics Overview and Label Analytics links offer Export only when Allow PDF download is on, and the PDF downloads straight from the viewer's browser.
  • Creating, editing, deleting and turning a link on or off need the admin role in the workspace. This includes Publish as Shared Analytics on a saved view. On the Shared Analytics page, a team member without access to Engage reports can only start a new Analytics Overview or Cross Platform link.
  • If everything a page link covered was removed (labels, team members, accounts or competitors), the link opens a "no longer available" message. A team member who leaves the workspace drops out of its Engage Team links.
  • An Engage Team link shows team members' names but never their email addresses.
  • Team members can create and list links only in workspaces they belong to.
  • A link shows only the days your plan's analytics history includes, counted back from today. A link with fixed dates that are partly older shows the days still included; one whose dates are all older shows no numbers.
  • After a downgrade, existing links keep working for your clients, but you can't edit them while your plan doesn't include Shared Analytics or you have more links than it allows. Delete links or upgrade to edit them again.
  • An Analytics Overview link created before breakdowns could be picked shows every breakdown row of the metrics it includes.
  • An Analytics Overview link shows Metrics over time read-only, with the network's default metrics. The viewer can't change the metrics or the scale, and the link has no section list in a sidebar.
  • When you edit a link created before metrics could be picked, Metrics opens with a note that the report uses the default metrics (for Label Analytics, headline numbers only and Combined mode when that is its mode), so nothing it shows has changed.

Troubleshooting

  • Next: Metrics shows errors: fill in each field marked with an error, and check any password-length message.
  • You can't create another link: you've used every shared report on your plan. Delete one or upgrade to add more.
  • Upgrade to edit this report: your plan changed. Delete links until you're within your plan's limit, or upgrade.
  • No metric matches: clear the metric search.
  • You don't have access to this workspace: switch to a workspace you belong to, or ask its owner to add you.
  • The link could not save: retry after checking your connection.
  • A recipient sees "This report is no longer available": link sharing is turned off for that report. Turn Link sharing back on in Shared Analytics, and the same link works again.
  • A recipient cannot open the link: check the copied link and password. If the link is unavailable, its owner must provide a working link.

Review a shared report as its recipient

After creating or updating a share, open the copied link in the intended viewing context and confirm the profile, dates and visible metrics. The public report does not expose the account's normal editing/navigation controls. Treat the URL as a sharing link and distribute it only to the intended audience.

If a recipient cannot open it, inspect the share's current availability and permissions before generating another URL. A working link is not evidence that its data is current; check its displayed scope and loading state. In a branded-domain experience, copied analytics links use the branded domain, so that domain must remain active.
