Create an analytics report
On this page
Turn an account's analytics into a branded PDF or PowerPoint report, or download its post results as a CSV.
Before you start
- Open the analytics page you want to report on and pick the account and dates first. The report uses what the page shows.
- Have your logo ready if you want it on the cover (JPG or PNG, ideally 300 x 100 px).
Open the feature
Choose Analytics in the left sidebar. On Analytics Overview, click Export at the top right. Label Analytics, Engage Labels and Team Analytics have the same Export button.
Steps
- Choose the account in Select social accounts and pick your dates in the date picker.
- Click Export and choose one of these:
- PDF - Global Data: a document with your content and audience metrics.
- PowerPoint (PPT): a presentation with the same metrics.
- CSV - Content Performance Data: a spreadsheet of your posts' results. It downloads straight away, so you can skip the rest of these steps.
- In the export window, click Upload a Picture under Upload Custom Image to add your logo. Its tile shows a spinner until the upload finishes. In the Cross Platform report's export window, if you pick another logo while one is still uploading, the logo you picked last is the one kept.
- Type a name in Custom Report Name, between 5 and 30 characters.
- Under Change Title Cover, pick a cover or upload your own. In the Cross Platform report's export window, the cover tile shows a spinner while your cover uploads, and picking another cover tile meanwhile cancels that upload. To remove an uploaded cover, click the x on its tile; the default cover is selected again.
- Check Report Preview on the right, then click Select metrics. Every analytics export has this metric step: Analytics Overview, Label Analytics, Engage Labels, Team Analytics, Review & Reputation, Competitor Analysis, Cross Platform Analytics and Link in bio. With Demo View on, the metric step is skipped: click Export Demo Report, then Generate Demo Report. In the Cross Platform report's export window, the button stays unavailable until every upload finishes.
- In Choose what metrics to show, tick the metrics, breakdowns and widgets this report should include. It starts from what the page shows, and changes here only apply to this export, not to the page. Search matches breakdown names too. If nothing is ticked, Show preview and Download stay unavailable until you tick something or click Select all. On Analytics Overview, the list has the same per-network rows as Customize for the account you picked. Engagement and Demographics expand into their breakdowns; an unticked breakdown is left out of that section's table and chart in the report. When the Overview cards are included, the report also has a Metrics over time page with the metrics you chose on the page (or the network's defaults if you haven't changed them), printed as a static chart with a plain legend. On Label Analytics, the Total impressions and Total engagement highlight cards follow your pick; the Top label card is always included. On Engage Labels, the metrics are the highlight cards and the widgets are Top performing labels plus the sentiment charts your plan includes. On Team Analytics, the list is the page's highlight cards; the charts and tables are always included. On Review & Reputation, the list is the same summary cards as Customize, pre-ticked the same way; Reviews Trend, Location Breakdown and Reviewers are always included. On Competitor Analysis, the metrics are the three trend charts and the widgets are Overview, the insight cards and YouTube channels; everything starts ticked because that page has no Customize. YouTube channels adds the YouTube pages (channels and key metrics, subscribers vs engagement rate with insights, and top videos) when you compare your channel with at least one competitor channel; the Overview page lists the YouTube channels too. A report with only a YouTube comparison has the Overview page and the YouTube pages, without the Facebook & Instagram trend pages. A trend page stays in the report while any of its cards is ticked. On Cross Platform Analytics, the list is the same as that page's Customize: the Overview cards, pre-ticked as Customize shows them. Unticking a card also leaves out its graph and its Summary Table column. Demographics and the Summary Table are always included. On Link in bio, the list is the same as the Overview cards' Customize: Page visits, Link clicks, Click rate and Post clicks, pre-ticked as Customize shows them. Total visitors, Clicks per link and Clicks on posts are always included.
- Click Show preview to check the pages and their count (the back arrow returns to your metric choices), or click Download. The window closes straight away.
Cross Platform Analytics PDF details
The Cross Platform Analytics PDF can include up to four Demographics pages: overview values, age and gender charts, a world map, and top country and city charts. Each page appears only when that row has data, so the section may be shorter or absent. LinkedIn does not include the age and gender page. Hover-only platform breakdowns aren't included in the PDF.
Expected result
You see Your request for a PDF download has been submitted. We'll send you an email when it's ready. (or PPT). The report arrives by email with your logo, cover and report name. A CSV shows Your CSV report has been downloaded.
If the request fails, you see Your report couldn't be created. Try exporting again. The next Export starts from the metrics you picked for the failed report.
The Top Posts section of an exported report shows up to 9 posts, 3 per page. Post times on these cards use your workspace's time zone.
Example
To prepare last month’s Facebook results, select the client’s Facebook Page and Last 30 Days. Choose Export > PDF - Global Data, add the logo, name and cover, then choose Select metrics. Review the metrics, then use Show preview or Download, as offered by the export flow.
Account and workspace access
Manual PDF and PowerPoint requests use the signed-in account and accessible workspace. A team member receives their own requested report only while their membership belongs to that account. If workspace access is denied, return to an accessible workspace and reopen the export.
Limits and permissions
-
YouTube analytics can't be exported because of YouTube's policy.
-
CSV - Content Performance Data isn't available in Demo View.
-
On Label Analytics, CSV - Content Performance Data downloads one row per label with every metric, straight away.
-
While sample data is on, Export is unavailable. Turn sample data off to export.
-
On Label Analytics, very large reports (many labels over a long date range) are stopped before they start. Shorten the date range or select fewer labels; the message says how many days fit.
-
Competitor Analysis offers the metric step only where its insight cards are available on your account; otherwise the report includes every section.
-
To send the same report on a regular schedule, use Scheduled Report instead. See Schedule analytics report email.
-
Pinterest account totals can appear through several boards. Selecting boards from the same account counts those account metrics once. If older board data cannot be matched to its account, refresh analytics or ask Support to check the missing history before combining those boards.
Troubleshooting
If an export image cannot be rendered, the export stops and the download control becomes available again. Retry the export.
- Export is greyed out: choose an account first. If the account has no data for these dates, pick a wider range.
- The CSV option is greyed out: hover over it to see why. Most often there's no data for the dates you picked.
- The report email hasn't arrived: check your spam folder. Reports can take a few minutes to build.
- The report shows the wrong dates or account: close the export window, change the account or dates on the page, then click Export again.
- Your logo or cover didn't change after an upload: the upload failed, so an error appears and the previous image stays in place. Only image files are accepted. In the Cross Platform report's export window you can pick the same file again to retry.
- The Cross Platform export button stays unavailable after you upload an image: wait for the tile's spinner to finish. An upload that hasn't finished after a minute stops with an error, and you can pick the file again.
If you opened the old Reports screen
The older Reports screen does not provide a working New Report action. Create and export reports from the supported Analytics screens described above. Demo report rows are examples; they do not create reports or send scheduled email.
Cover controls and cancellation
Use the cover choices to select the default, an uploaded cover or no cover where offered. Removing the uploaded cover returns to the default selection. Report Preview switches the preview; the back arrow returns to the cover form for corrections. Closing the dialog cancels preparation; it does not cancel a report request already submitted.
Shared export controls appear on several report types. Check the current report title before generating a file, and review sample-mode indicators. A successful request message confirms submission, not that a recipient has received the finished report.
