Invite advocates
On this page
Invite employees, partners or customers to share your campaigns from their own social accounts.
Before you start
- Have each person's name and email address ready.
- Decide whether each person is an Internal advocate (connected to your organization) or an External advocate (a partner, customer, creator or community member).
Open the feature
Choose Advocacy in the left sidebar, then choose Advocates. The My Advocates page opens.
Steps
- Click Invite Advocate. The Invite Advocate window opens.
- Type the person's Email and Name.
- Type an Advocate group if you want to group people, for example "Sales".
- Choose a Role: Internal advocate or External advocate.
- Choose a Language: English, French, German or Spanish.
- Click Invite.
To invite many people at once, click Bulk Invite instead. Paste the email addresses into Emails, choose a Role and Advocate group, and click Invite (the button shows how many emails it found).
Maintain advocates and engagement permissions
Use All Roles to filter advocates by role. Open an advocate's edit action to change the supported details, or Remove to revoke their programme membership after reviewing the confirmation. An email address cannot be changed in the edit form; remove and re-invite when a different address is needed.
Where offered, Let advocates request engagement allows eligible advocates to ask teammates to act on an already published post. Review that setting before enabling it for the programme.
Expected result
You see Advocate invited, and the person appears in the list with the status Invited. They get an email invite. If they already have a Social Champ login, they also get a notification in the bell, whichever workspace they are working in, and its Review invite link opens the invitation in Advocacy. When they open Advocacy and click Accept invite, their status changes and they can connect a social account under My accounts and start sharing your campaigns.
After a bulk invite, the window shows All done with how many people were Invited, Skipped and Failed.
Example
To invite your sales team, click Bulk Invite and paste "ali@company.com, sara@company.com, omar@company.com" into Emails. Choose Internal advocate as the Role and type "Sales" in Advocate group. Click Invite 3. When the window shows All done, click Done. You can now target the "Sales" group when you create a campaign.
Limits and permissions
- Advocacy may not be available on your account yet, and it depends on your plan. How many advocates you can invite also depends on your plan. The Advocates seats meter on the page shows how close you are.
- Bulk Invite takes up to 200 email addresses at a time, separated by commas, semicolons, spaces or new lines.
- Advocates can only share campaigns assigned to them.
- To choose which networks advocates can connect, open the Settings tab on this page and use Platforms advocates can connect.
- You can't change an advocate's email. Remove them and invite the new address instead.
- You can't change the name of an advocate who has signed up. They manage it from their own account.
Troubleshooting
- The advocate didn't get the email: ask them to check their spam folder, then click the Resend Invite icon on their row.
- "You've reached your advocate limit": remove advocates you no longer need. In the Bulk Invite window, you can also click Add more advocates to add seats.
- Some people were Skipped in a bulk invite: those addresses were already invited, or one of them was your own email. Check the list before inviting them again.
- An advocate accepted but can't share: ask them to connect a social account under My accounts. It must be on a network you allow in Platforms advocates can connect.
Review invite results and programme settings
Use the list's role filter to distinguish Internal and External advocates; these labels describe their relationship to the programme and do not grant workspace administration. Review invitation status before using Resend Invite. Bulk Invite reports Invited, Skipped and Failed separately; fix failed addresses and review skipped entries before retrying to avoid unnecessary repeat invitations.
On Settings, choose Platforms advocates can connect and review Let advocates request engagement where offered. A platform restriction can leave a previously connected account unavailable for this programme without deleting it. The advocate-seat meter describes capacity; accepting an invite, connecting a social account and completing a campaign remain separate steps.
Edit details and recover settings
Edit an advocate to review their name, role, group and invitation language where offered. The email cannot be changed in the edit form; a different address requires removing and re-inviting after reviewing the consequences. Close or cancel to leave the form without submitting.
You can change an advocate's Name while they are still invited, and the new name shows across Advocacy. Once an advocate signs up, they manage their own name: Advocacy shows the name on their account, and the Name field is read-only, with the note "Advocates manage their own display name after signing up." Their Advocate group, Role and Language stay editable.
The Name can't be left blank. If a save fails, the form stays open with your changes and shows "We couldn't update this advocate. Please try again." so you can retry. If the advocate signed up while you had the list open, the form says so, switches Name to read-only, and keeps your other changes for you to save.
Bulk invitations continue sending if you close their progress window. Review Invited, Skipped and Failed before starting another batch. Use the completed dialog's option to add more advocates when needed.
If Settings cannot load, use Try again. The controls stay locked until the current settings load so an unseen setting is not overwritten.
