Schedule and export listening reports
On this page
Download a report for one alert, or have Social Champ email it to people on a regular schedule.
Before you start
- Set up at least one alert. See Create a listening query.
- Only owners and admins can schedule a report. Other team members can view schedules but not change them.
Open the feature
Choose Listening in the left sidebar, then Analytics. Pick an alert from Select Alert and set the date range.
Steps
To download a report now:
- Click Export and choose PDF - Global Data, PowerPoint (PPT) or CSV - Content Performance Data. A CSV downloads straight away.
- For PDF or PowerPoint, add a Custom Report Name, and a logo with Upload Custom Image if you like.
- Click Export PDF (or Export PPT) to see a preview, then click Generate Report.
To email a report on a schedule:
- Click Scheduled Report. Personalize the report cover and click Let's Schedule.
- In Schedule Listening report, choose the alert under Report if it isn't already set.
- Under Send report, choose Daily, Weekly or Monthly. For weekly, pick a Day. For monthly, pick a Day of month.
- Pick a Time.
- In Recipients, type each email address and press Enter.
- Under What gets sent, choose Report PDF or Report PowerPoint (PPT).
- Click Schedule report.
Create from Scheduled Reports
Open Scheduled Reports and choose Scheduled Report in the header. Select the report configuration and complete the recipients, frequency and delivery details shown by the form. Review and save the schedule, then confirm it appears in the list. The create action is disabled when you do not have permission to manage schedules.
Expected result
For a PDF or PowerPoint download, you see Your request for a PDF download has been submitted. We'll send you an email when it's ready. For a schedule, you see Scheduled report created. and the schedule appears on the Scheduled Reports page with its Next run time and an Active status.
Example
To send your manager a weekly summary of your "Bean Street" alert, open Analytics, pick the alert and click Scheduled Report. Click Let's Schedule. Choose Weekly, Monday and 9:00 AM, add your manager's email and keep Report PDF. Click Schedule report. Every Monday at 9:00 AM, your manager gets an email with a link to download the PDF.
Account and workspace access
Manual PDF and PowerPoint reports use your current accessible workspace and signed-in account. Scheduled reports use the account and workspace saved on their schedule. If workspace access is denied, reopen the report in a workspace you can access.
Limits and permissions
Your plan also limits active schedules per account and saved schedules per workspace. A run can be Skipped: no new mentions. Frozen-alert explanations appear in email history and can include deletion after 90 days; check that history for the reason.
- Scheduling reports may not be available on your account yet. If you don't see Scheduled Report or Scheduled Reports, use Export instead.
- Each alert can have one schedule per frequency: one daily, one weekly and one monthly.
- Reports use your workspace's timezone. Change it in your workspace settings.
- The form shows how many recipients you can add. That number depends on your plan, and Email history shows how many a schedule has out of it, for example 3 of 25.
- Recipients get the report by email. This doesn't give them access to your Social Champ account.
- CSV export isn't available for demo reports.
- PDF and PowerPoint reports, downloaded or scheduled, end with a Top mentions page. It is always ranked by engagement and has nothing to click: no View post buttons and no Engagement/Reach switch. If the ranking hasn't finished loading when the report is made, the report is sent without that page. A demo report shows sample mentions there.
Troubleshooting
- A frequency can't be selected: this alert already has a schedule with that frequency. Open the Scheduled Reports page and click Edit schedule in that row's menu instead.
- Some email addresses were skipped: the message tells you which were invalid or already added, or that you reached your plan's recipient limit. Check them and add them again, or remove a recipient to make room.
- A schedule shows Delivery issue: the email couldn't be sent. Social Champ tries again automatically. Click Email history to see each attempt as Sent, Skipped or Failed.
- A schedule shows Stopped: your account no longer has access to Listening.
- Email history says an alert is frozen: your plan no longer covers this alert, so its report isn't sent and the schedule can't be resumed or edited. You can still pause or delete the schedule. The alert comes back when your plan covers it again, for example after you add Listening. If your account lost Listening, add it again within 90 days, or the alert is deleted.
- You need to stop a report for a while: open the row's menu and click Pause schedule. Click Resume schedule to start it again.
- You no longer need a schedule: On Scheduled Reports, open its row menu and choose Delete schedule. To remove several, select their rows and click Delete Selected. Review the confirmation and choose Delete schedule or Delete schedules; choose Keep or Keep schedule to cancel. Recipients stop receiving the selected report or reports, but your alerts, mentions and manual exports remain. A deleted schedule can't be restored.
Personalize and inspect the report cover
For PDF or PowerPoint, enter a Custom Report Name between 5 and 30 characters. Upload Custom Image adds a logo; the recommended size is 300 × 100 pixels. Change Title Cover changes the cover image. Inspect Report Preview, then continue to the export preview. Use the back arrow to correct the cover before Generate Report. A submitted request is queued work, not confirmation that the file or email has arrived.
Manage the Scheduled Reports list
Each row identifies the report/alert, file format, frequency and timezone, recipients, creator, last run, next run and status. Not run yet means there is no recorded run; Not scheduled means there is no next run displayed. Open Email history for attempt details and the sent/skipped/failed result rather than relying on a status label alone.
Use Edit schedule to change the permitted delivery settings; Customize template opens the cover configuration. Pause temporarily with Pause schedule, and use Resume schedule when the schedule and alert are eligible again. A stopped or frozen schedule may not offer editing/resuming. Deleting schedules removes delivery configuration, not the underlying Listening alert. Bulk deletion affects only selected rows.
Before saving, review the workspace timezone, recipient chips, format and chosen cadence. Correct invalid or duplicate addresses and remove obsolete recipient chips. A separate frequency is a separate schedule and can have different recipients. To investigate a missed report, check Next run, Email history, alert access and the recipient address before creating another schedule.
